Abstract submission and guidelines
Abstract submissions are now closed.
Authors will be advised of status by Tuesday, 21st November. For those authors who are requested to modify their abstracts, the deadline will be 4th December 2011.
Final notice to authors of modification acceptance will be advised by Thursday, 15th December 2011.
IMPORTANT NOTE: Please provide during the online submission process, an email address which will not be blocked by spam servers. Personal email addresses are recommended versus hospital email addresses.
IF YOU HAVE NOT RECEIVED A STATUS MESSAGE, PLEASE SEND AN EMAIL TO abstract@eahp.eu (FROM ANOTHER EMAIL ADDRESS OTHER THAN THE ONE YOU USED TO SUBMIT YOUR ABSTRACT).
Original contributions from all fields of hospital pharmacy are welcomed for poster presentations. Poster prize nominees should disclose whether their work or comparable/similar work was submitted at an earlier International conference or somewhere else. Presentations which have already been published on an international level must not be submitted for the poster presentation. Important data already published can be accepted if they are presented in a new context giving new inspirations for colleagues.

Format
Abstracts must be submitted via our online submission programme according to the instructions below:
- Abstracts must be structured and written in five paragraphs: Background, Purpose, Materials and Methods, Results, Conclusions. The online abstract submission will guide you through this process.
- Case reports are only interesting if they contain new observations or only reported to a minor degree in literature. There might be exceptions in rare diseases.
- Search the literature to see if a solution to your problem is already published and dealt with.
- In case series or in drug use evaluations: Be sure to present at least 30 patients or cases.
- Abstracts must have no more than 300 words (or less if you use graphs or tables), and be typed in English.
- Acknowledgement may be given at the end of the abstract.
- The title of the abstract must be strictly coherent with the data included in the abstract and the conclusions must be warranted by information included in the results section.
- Abbreviations may be used only if they are defined (spelled out in full text at first mention, followed by abbreviation in parentheses). Only general standard abbreviations for e.g. millilitres, seconds, molar may be used without explanation
- Simple tables or graphs in black and white may be included, but no photographs. Symbols and drug structural formulas may be used and should be drawn or printed in black.
Forming the abstracts
Before writing the abstract make it clear for yourself what is the new evidence you want to present and why colleagues should be interested in your study!
Many abstracts are spoiled and rejected due to poor English, please have an English speaking person to read your abstract before submission.
Background
What’s the background for the study presented?
Purpose
What is the problem you want to solve and focus on and why is the answer to the problem important?
Are other observations in this field already published? And relevant to mentioned?
Material and Method
Describe the method and facilities (e.g. equipment/statistics, models) being used.
Results
Present the necessary data in a way that it is easy to understand. Try to avoid tables and figures in the abstract, use them in the poster. Discuss your results and compare to literature data if available.
Don’t use excessive decimals e.g. a person might weigh 70,237 kg but only 70 kg should be mentioned.
Conclusion
Based on your results what are the answers to the problem you focused on? What are the new findings?
Is your study conclusive or should further studies be carried out before a conclusion is reached?
Be structured and scientific. Avoid using a narrative form/style.
If citing literature in your abstract text you must give the reference for this at the end of your abstract text.
Other items
The header of the abstract should be set up as:
- Title in lower case letters (do not use abbreviations in title)
- Name of every author, preceded by initials and the name of the presenting author should be underlined and entered as instructed via the online submission process. Omit degrees, titles or institutional appointments.
- Institution, city, country where the study took place
- Email address of the presenting author
Please rank your abstract in one of the following groups:
· General and Risk Management, Patient safety (including: medication errors, quality control)
· Technology (including: robots for production, Incompatibilities, drug production and analytics, CRS)
· Drug supply / logistics (including: computer-aided drug dispatching and ward pharmacies)
· Drug information (i. Anti-infectives, ii. cytostatics, iii. others)
· Pharmacotherapy: Pharmacokinetics and Pharmacodynamics (including: ADE, TDM, DUE)
· Other Hospital Pharmacy topics (including: medical devices)
· Clinical pharmacy and clinical trials (including case series)
Poster Award
Encouragement prize for investigators.
Poster size maximum: 95cm x 236cm
The best abstracts/posters – with regards to aspects like originality, scientific quality and practical applicability – will be awarded with 3 prizes amounting EURO 750, EURO 500 and EURO 250. Poster nominees will be requested to give an oral presentation on Wednesday, 21 March or Thursday 22 March. Oral presentations are to consist of 10 minutes for presentation and 5 minutes for questions and answers. More details will be sent at a later date when poster prize nominees are selected.
Judging will take place on Thursday, 22nd March and the winners will be announced at the closing ceremony on 23 March 2012. You must be present to win.

IMPORTANT NOTE: It is the responsibility of the submitter to proof the abstract online before submitting. Please be aware that some symbols may not transfer correctly due to various keyboard set-ups. Kindly, proof well before submitting.
Authors will be notified of the status of the submission in November 2011.
The EAHP Congress Secretariat reserves the right to make electronic adjustments to abstracts. Abstract texts will not be modified without the author’s consent. When – in the opinion of the Scientific Committee – the language of the abstract needs stylistic revision, this will be done by a professional editor. The resulting abstract will be mailed to the first author, who will have 5 working days to respond. Without response within 5 working days, the revised manuscript is final.
