GROUP REGISTRATION INFORMATION
- Online Group registrations will close on Friday, 15 March 2024 at 16h00 (CET) and the website links will no longer be accessible
- Group registrations done between Monday 11 March and Friday 15 March 2024 (at 16h00 CET) can only be paid for by Credit Card (not bank transfer).
- After Friday 15 March 2024 at 16h00 (CET), only onsite registration will be accepted. Self-registration kiosks will be available at the Congress center and either credit card (Visa, Mastercard and American Express or Bancontact/Mistercash) or cash payments will be accepted.
- Online registrations will be considered final only once the registration form is fully completed, correctly filled in and submitted.
- The Group registration will not be confirmed until full payment has been received. If payment has not been received in full, the entire group will be blocked from entering the Congress. Payment must be made upon receipt of the pro-forma.

Registration fees VAT EXCLUDED - 20 French VAT will be added at the end
The registration fee includes access to all sessions, the opening reception, the exhibition, lunches on Wednesday and Thursday as well as coffee/tea during official breaks.
* STUDENT RATE:
Only for undergraduate students of pharmacy or pharmaceutical sciences under 35 years old. As proof of this, the participant must provide an official document signed and stamped by his/her university certifying that he/she is a full-time undergraduate student studying to complete a bachelor/master degree to become a pharmacist or a bachelor/master of pharmacy/pharmaceutical sciences. The letter shall also include the month/year that the participant started your courses.
We require these documents be sent within 2 working days of the Registration being done. Alternatively, while the registered Student is waiting for said documents to be provided by their University, they are requested to send a photo of their current Student Card (Recto-Verso).
The application for a student fee is not valid until approved by the EAHP Secretariat. Before registering for the student fee, please check the requirements HERE.
Hospital residents are not entitled to the student rate and shall register under the Hospital Pharmacy Specialization Resident Student rate.
You have to be a student at the time of the Congress.
** RATE FOR YOUNG PROFESSIONALS:
The young professional rate applies to a person who finished within the past 2 years his/her master of pharmacy/pharmaceutical sciences education. As proof of this, the participant must provide a copy of his/her diploma signed and stamped by his/her university and indicating the month/year of graduation. The application for the young professional fee is not valid until approved by the EAHP Secretariat.

*** RATE FOR HOSPITAL PHARMACY SPECIALIZATION RESIDENT STUDENTS:
The hospital pharmacy resident students’ rate applies to a person who started his or her residency within the past two years and a person who is younger than 35 years. As proof of this, the participant must provide a copy of his/her certificate indicating the month/year of starting the hospital pharmacy residency programme. The application for the hospital pharmacy specialization resident students’ fee is not valid until approved by the EAHP Secretariat.
Please note that EAHP no longer takes appointments for Congress bags and badges pick-ups.
Therefore, we strongly recommend to pick-up the badges and Congress bags on Tuesday, 19 March 2024 in order to avoid long queues on the first Congress day Wednesday, 20 March 2024.
The registration desks will be open on Tuesday, 19 March from 12:00 to 17:00 and no appointments can be scheduled for that day.

ONLINE PAYMENT TERMS
1. Payments shall be made by bank transfer until Thursday, 14 March 2024, to the European Association of Hospital Pharmacists (EAHP), Boulevard Brand Whitlock 87, Box 11 (4th floor), 1200 Brussels, Belgium.

2. Cheques are not accepted.
3. Only payments in Euro will be accepted.
4. Bank charges must be borne by the participant.
5. The registration will not be confirmed until full payment has been received. If payment is not received before the new rate applies, this new rate will automatically apply.
6. The invoice will be issued only after full payment has been received.
EAHP will issue official registration badges of admission and no other form of admission badge will be valid. The badges are personal and no exchange between participant is allowed.
EAHP reserves the right to expel from or refuse to admit to the congress premises any person at any time notwithstanding that person's possession of an official badge.
No participant will be admitted to the congress centre without producing to the gate the registration badge. If a participant fails to show his/her badge issued by EAHP, EAHP reserves the right, at its discretion, to refuse entry.
If the participant loses or misplaces his/her badge, he/she will be required to pay €50 (20% French VAT excluded) to have a new badge issued. Only one replacement badge will be issued during the entire event.
PHOTOGRAPHS AND VIDEOS/WEBCASTS
It is in the legitimate interest of EAHP to use any photos and videos taken of the participants during the congress events for EAHP marketing purposes which may include the EAHP YouTube channel, Facebook page, etc. Participants that do not wish to be photographed or recorded shall advise EAHP in writing prior the Congress registration[at]eahp[dot]eu.
During the congress, exhibitors and satellite organisers, may scan participants at their stands and at the entry of the industry satellite room. Each lead will contain the contact information as provided by the participant on the registration form (name, full address, telephone, fax, email and lead codes).
The participant has the right to withdraw his/her consent to the processing of his/her personal data at any time, without affecting the lawfulness of processing based on consent before its withdrawal. Please let us know prior to the beginning of the congress, by sending an email to privacy[at]eahp[dot]eu with the following subject: “Data retrieval consent withdrawn”.
EAHP will also scan participants at the end of each accredited session for the only purpose of providing your educational points. This data will not be used for marketing purposes. Neither EAHP organizer nor the provider of the scanners can be held liable for incorrect data.
LIMITATION OF LIABILITY
Views expressed by speakers, sponsors and exhibitors are their own. EAHP cannot accept liability for any advice given, or views expressed, by any speaker, sponsor or exhibitor at the Congress or in any material provided to the participants.
EAHP will endeavour to ensure the supply of the services of the third party providers mentioned in the registration documents and website (such as transporter, hotels, speakers, etc) but as the supply of such services is not within the control of EAHP, EAHP shall not incur any liability to the participants.
In addition, EAHP total aggregate liability for any claim as a result of a breach of contract or tort, shall be limited to the fees paid by the participant to EAHP. EAHP shall not be liable under any circumstances for any of the following loss or damage: loss of revenue; loss of profits; loss of, or damage to, or corruption of, data ; any indirect, consequential, or punitive damages. EAHP is only liable for direct damage, which is damage that is connected in such manner to the Congress giving cause to the liability that it can be attributed to such party as a consequence of this Congress.
“Force majeure” shall mean any unforeseen event which is beyond the reasonable control of EAHP or any foreseeable occurrence the consequences of which may not reasonably be avoided that arises after registration and which prevents performance of the obligations, in whole or in part, by EAHP. Such causes, conditions, events and circumstances will include but are not limited to acts of God, strikes, lockouts or other industrial disturbances, acts of the public enemy, wars, blockades, insurrections, riots, diseases, epidemics, pandemic, quarantine, World Health Organization travel advisory, landslides, lightning, earthquakes, fires, storms, floods, washouts, arrests and restraints of rulers and people, arrests and restraints of the government, either federal or local, inability of EAHP hereto to obtain necessary materials or supplies at market costs or permits due to existing or future rules, orders and laws of governmental authorities (both federal and local), non-availability of food, beverages, or other supplies or curtailment of transportation either in the exhibition city or in the countries/states of origin of the participants, interruptions by government or court orders, present and future orders of any regulatory body having proper jurisdiction, civil disturbances, explosions, sabotage, partial or entire loss of market.
If despite all reasonable EAHP’s efforts, the exhibition cannot be held or has to be postponed due to Force Majeure event as defined above or due to events which are not attributable to wrongful intent or gross negligence of EAHP, EAHP cannot be held liable by the participant for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.
Under the above described circumstances, contract shall not be deemed as terminated and EAHP reserves the right to retain the entire registration fee and to credit it for a future congress.
In certain circumstances Covid-19 will not constitute an event of force majeure as defined above in that it will not make it impossible to hold the event but will modify the practical arrangements.
With the uncertainty surrounding the effect that Covid-19 might have on the major events sector, the parties recognise that there may be other implications regarding the holding of the Congress, whose consequences must be addressed hereinafter.
“Covid-19” in the sense of the present article includes (1) the disease known as Covid-19 and the pandemic thereof which began in March 2020 together with any subsequent outbreak of Covid-19, any mutations and variants thereof and any other similar but unrelated pandemic (2) the measures, recommendations, regulations and legislation imposed by the governments and/or public authorities of the country of the venue or the country of origin of the participants.
In the event that Covid-19 causes either (1) a significant increase in costs for EAHP above those experienced in the past congresses (2) substantial complications to maintain the Congress, the participants recognize and accept that EAHP will be entitled to cancel the Congress up to 15 days before its date, to retain the entire registration fee and to credit it for a future congress.”
It is the sole responsibility of the participant to take care of his/her visa if needed.
MODIFICATION OF THE PROGRAM
EAHP reserves the right to modify the program, without this giving rise to compensation. No refund can be granted in case of cancellation of speakers.
REGISTRATION NAME CHANGE
The final deadline to change participant names and details is Friday, 15 March 2024 at 16h00 (CET). It is the responsibility of the group leader to insert the correct name and e-mail address of each participant online before this deadline. After this date, the online access will be closed and it will only be possible to add or change the participant's details on site (free of charge) at the group self-registration kiosks.
Invalid e-mail addresses or duplicates for multiple participants will not be accepted and the group will be blocked from entering the Congress even if the group registration was paid. If changes must be made onsite by EAHP due to incorrect information, the group will be charged a total of €50 (20% French VAT excluded).
If the group leader would like EAHP to add or change this information for you during the congress, a €50 (20% French VAT excluded) fee per name change will be charged.
For groups a maximum of 15% of the registrations may be cancelled before 31 December 2023 (less €100, bank and administration charges per cancelled participant - 20% French VAT excluded)). No refunds and cancellation can be made after this date but substitution is always accepted. In addition, refunds will not be granted due to duplicate registrations. It is the responsibility of sponsors and participants to ensure that only one registration is made.
Please note that the final deadline to change participant names and details is 15 March 2024. After this date, the online access will be closed and you will only be able to add or change the participant's details on site (free of charge) at the group self-registration kiosks. If you would like the EAHP staff to add or change this information for you during the congress, a 50 euros (20% French VAT excluded) fee per name change will be charged.

GOVERNING LAW JURISDICTION
Any disputes or claim arising out of or relating to these provisions or the breach thereof shall fall within the exclusive jurisdiction of Courts of Brussels.
All issues, questions and disputes concerning the validity, interpretation, enforcement, performance and termination of these provisions shall be governed by and construed in accordance with Belgian law, and no effect shall be given to any other choice-of-law or conflict-of-laws rules or provisions (Belgian, foreign or international), that would cause the laws of any other jurisdiction to be applicable.
